Question 1. Should pricing for the OPEX scanner be included in our proposal, or will Sarasota County Tax Collector procure this equipment directly from OPEX?
Answer 1. The Sarasota County Tax Collector currently possesses the OPEX Model 72 extractor, and is in the process of upgrading (directly from OPEX) to the Opex Falcon+ RED (Rapid Extraction Desk).

Question 2. Could you please confirm whether the Sarasota County Tax Collector currently uses any desktop scanners? If so, kindly specify the make, model, and quantity.
Answer 2. The Sarasota County Tax Collector currently uses Canon CR-120 desktop scanners to do scan-only batches of checks we receive.

Question 3. Should pricing for desktop scanners be included as part of our proposal?
Answer 3. Yes

Question 4. What is the estimated annual volume of comment cards processed by the County?
Answer 4. The Sarasota County Tax Collector receives approximately 5,000 comment cards annually.

Question 5. What is the estimated annual volume of returned mail handled by the County?
Answer 5. The Sarasota County Tax Collector receives approximately 17,000 pieces of return mail annually.

Question 6. Can the solution you’re looking for be either on-premises or Cloud-based (or a combination of both)?
Answer 6. On premises is preferred.

Question 7a. For Grant Street Group’s TaxSys, can you provide yearly estimates on the number of Property Tax (Centrally Assessed, Tangible Personal Property & Real Property) you expect to process via Remittance Processing?
Answer 7a. Last year, 80,000 stubs were processed through lockbox. However, this number is not a guarantee of future processing counts.
Question 7b. You did not mention DMV Renewals (FRVIS/ORION).  Do you plan to use Remittance Processing for processing DMV Renewal Payments now or in the future? If so, can you provide yearly estimates on the number you expect to process?
Answer 7b. The Sarasota County Tax Collector does intend to use Remittance Processing for DMV Renewal Payments. Last year, 58,000 stubs were processed through lockbox. However, this number is not a guarantee of future processing counts.

Question 8. For “Export capability for financial reconciliation and reporting”, are reports sufficient or are you expecting an export to your financial software?
Answer 8. Assuming the vendor’s standard transaction reports include item(s) paid, totals, deposits, etc., no additional custom report is required for the Sarasota County Tax Collector’s financial software. Please include any report examples in response package vendor wishes for the Tax Collector to review.

Question 9a. Can you provide a PDF copy of the front/back for the Comment Card that will be scanned, including actual dimensions?


Answer 9a. The card was designed to be standard postcard size – 4” x 6”.
Question 9b. Can you describe your current internal process for how you route your comment cards internally and respond to customers, if necessary?
Answer 9b. Cards are received in the office drop boxes or via mail. They are reviewed in each office at a staff meeting and then routed to Administrative Staff for internal review and follow up with the customer, if necessary.
Question 9c. Do you currently have any metrics you have created from Comment Card data? If so, are you able to provide any of those metrics?
Answer 9c. The Sarasota County Tax Collector receives approximately 5,000 comment cards annually.

Question 10. Can you please describe what you mean by “quality control workflows”?
Answer 10. The Sarasota County Tax Collector would like to establish some type of report, documentation or procedure which identifies results/processes that are not conforming to our accepted business process, rules or criteria established during implementation.

Question 11. Do you have any additional specifications on what type of metrics/statistics you desire?
Answer 11. Other than what was listed in the ITB, during discovery discussions and implementation, if additional data, metrics or reports are determined to be needed by the Sarasota County Tax Collector, in conjunction with the vendor, the Tax Collector’s implementation team will discuss the feasibility of creating any additional report or statistic. If any such report or statistics already exist and are available to other Tax Collector client(s), the vendor may suggest use of that report in place of creating a custom report for the Sarasota County Tax Collector.
