Question 1. Is there an existing style guide or messaging framework that outlines the Tax Collector’s tone of voice and key priorities for public communication?
Answer 1. The office has a color and font guide which should be loosely followed in drafting images for platform posts.

Question 2. What platforms would the PR/social partner support – Facebook and Instagram?
Answer 2. Presently, the office has Facebook, Yelp & Google locations/reviews. Future expansion of a social media presence could include Instagram.

Question 3. The goal of gaining 200 new Google Reviews per month appears quite ambitious — could you confirm if this figure is based on historical performance or an aspirational benchmark? Is this scalable?
Answer 3. This is an aspirational goal, and we have placed business cards with a link to Google locations to garner reviews in each office in furtherance of this goal.

Question 4. Is there an allocated budget for paid social amplification to help achieve the monthly growth and engagement goals?
Answer 4. At present, there is not an allocated budget for this. Open to discussion.

Question 5. For the two monthly videos, should the agency handle full production (filming and editing), or will internal resources provide footage or assistance?
Answer 5. The successful agency should plan to handle full production of the videos. However, this should not preclude the office from separately filming and producing any of our own videos, in other words, the agency should not be deemed to have exclusive video-production rights.

Question 6. Could you please clarify the agency’s level of responsibility for the quarterly newsletter? Specifically, should the selected vendor be responsible for determining content themes, writing, design, and distribution logistics — or will the Tax Collector’s Office provide content direction and handle distribution through an existing platform or system (e.g., Constant Contact, Mailchimp, internal CRM)
Answer 6. The office is happy to collaborate with the agency on content, ideas, themes, etc. (and this applies to the videos referenced in Qu. 5, as well). The office may or may not wish to handle distribution through our own CRM; this is to be determined. Please comment or include options for the agency’s handling of distribution. The expectation is that any replies to content sent on the office’s behalf would be directed back to the office for public records capturing and response, when/if appropriate.

Question 7. Could you confirm the anticipated contract length and whether renewal options are available beyond the initial term?
Answer 7. The initial term would be for 1 year, and there would be options for renewal beyond the initial term.

Question 8. Could you please confirm the anticipated budget range or ceiling for this engagement?
Answer 8. Due to limited information about the scope and corresponding costs of these services, a budget has not yet been assigned.
